Benefits

Why KPI?

Key advantages of KPI as part of Navatom's integrated platform.

Compare Vessels on One Yardstick

Every KPI is worked out the same way on every vessel, so one ship's overdue rate or retention can be read against the fleet's without arguing about the method.

Know Where You Stand Against Your Own Targets

Meets, Watch and Breach put each figure in plain terms against targets you set, and a vessel can follow the fleet target or hold its own.

Hear About a Breach Without Opening the Board

A KPI that newly enters breach is reported in the newsfeed, with its value and target, to the people who may see that vessel.

Back Every Figure with Records

Any number opens onto the records behind it and what each added to it, so a figure in a management review leads to the issue, order or payslip that explains it.

Safety, Audits, Purchasing and Crew in One Method

The same tile, bands, trend and history run across 14 modules, so a technical director reads a purchasing KPI the way they read a safety one.

No Spreadsheet Between the Records and the Report

KPIs are calculated from what each module already holds, so there is nothing to export and nothing to key in twice.

Overview

Navatom KPI turns the records your fleet already keeps into key performance indicators, each with one fixed formula, a history by month, quarter and rolling 12 months, and a target where you set one.

Read the full overview of KPI

Navatom KPI measures how the fleet performs, from the records already in Navatom. More than 420 indicators cover overdue and repeat issues, injury and near-miss rates, the audit program and port State control, purchasing cycle times and prices, crew cost and wage protection, officer retention, and how manuals, circulars and forms are approved, read and filled in. Each has one formula, the same for every vessel, so one ship's figure can be set beside another's.

You decide what good looks like. Set a target, and a breach line if you want one, for the fleet, the office or a single vessel, and each figure reads as Meets, Watch or Breach, or Unrated while it has no target. Every figure is compared with the previous period and drawn as a trend by month, by quarter or over a rolling 12 months, and a KPI that newly enters breach is reported in the newsfeed.

Each KPI sits in the module it measures: 14 modules have a KPIs page in their own menu, and the KPI Board brings a headline figure from each issue module and from Crew Manager onto one screen. Turn a tile over to see how it is calculated and which standard it cites, or open it to see the records behind the figure. KPI sits beside the Dashboard, which shows what needs doing now, and Analytics, which explains one subject in depth.

Capabilities

Key Features

How KPI helps ship managers work faster and stay compliant.

01

Fleet KPIs Measured the Same Way

Navatom KPI holds a catalog of more than 420 indicators. Navatom defines each one once, with its unit, its formula, which direction is good and the least number of records a figure needs, and nobody edits those definitions: you set targets, never formulas.

Every figure is calculated from the issues, audits, orders, payslips, manuals and forms already in Navatom, so nothing is exported or keyed in again. A vessel and the fleet are measured by the same formula, which keeps a comparison between ships fair.

KPI

Fleet KPIs Measured the Same Way

  • 420+ KPIs in one catalog
  • One formula per KPI, the same for every vessel
  • Direction of good built into each KPI
  • Least records needed before a figure shows
  • Calculated from records already in Navatom

02

Meets, Watch or Breach Against Your Targets

Set a target for a KPI and, if you want a second line, the level at which it counts as a breach. A value at or better than the target Meets, a value between the two lines is on Watch, and a value beyond the breach line is in Breach; with no breach line, anything short of the target is a breach. A KPI with no target is Unrated, and says so.

A target can cover the fleet, the office or one vessel, and one period type or all of them. A vessel follows the fleet target until you give it one of its own. Before you save, the editor replays your thresholds over recent periods and tells you how many would have breached or been on watch, as a simulation that changes nothing.

KPI

Meets, Watch or Breach Against Your Targets

  • A target and an optional breach line per KPI
  • Fleet, office and per-vessel targets
  • Vessels follow the fleet target or hold their own
  • Thresholds tested on recent periods before saving
  • Unrated until a target is set

03

Trends by Month, Quarter and Rolling 12 Months

View every KPI by month, by quarter or over a rolling 12 months, and step back through earlier periods. Each tile shows the value, the change from the previous period and a trend that knows which direction is good, with a line of the last 12 months, or 8 quarters, and the target and breach lines drawn on it.

A period still running is marked Open and one that has just ended is marked Provisional, so late entries are not mistaken for a final result. Once its grace window has passed, the figure is captured as it stood, and a closed period with no captured figure is rebuilt from today's records and marked as rebuilt.

KPI

Trends by Month, Quarter and Rolling 12 Months

  • Month, quarter or rolling 12 months
  • Change and trend against the previous period
  • 12-month trend line with target and breach lines
  • Open and provisional periods marked
  • Rebuilt history marked as rebuilt

04

KPIs in the Menu of 14 Modules

  • A KPIs entry in 14 module menus
  • Indicators grouped under section headings
  • An overview with a headline from each issue module
  • The same controls on every KPI page
How it works

Each KPI sits in the module whose records it measures. Deficiencies, Non-Conformities, Accidents, Near Misses, Technical Findings, Audits, Procurement, Payroll, Crew Manager, Crew Planning, Work & Rest Hours, Manuals, Circulars and Forms each have a KPIs page in their own menu. The indicators are grouped under headings such as Backlog and Deadlines, Cycle Time or Crew Protection.

The KPI Board opens on an overview with a headline figure from each of the five issue modules and from Crew Manager. Every page works the same way, with the same period controls, scope picker, cards and table.

05

Records Behind Every Figure

  • Chart of recent periods with target lines
  • Contributing records with what each added
  • Breakdown by root cause, equipment and ageing
  • Link to root cause analytics for the same period
  • Filter, search and group the records
How it works

Open a tile to see how its number was made: a chart of recent periods with the target and breach lines, and the list of records that contributed, with what each added to the figure. Filter, search and group the records.

For issue KPIs the figure also breaks down by root cause, cause category, incident type, equipment, injury class, repeat level or how long issues have been open, and the tile links to the module's root cause analytics for the same period. Audit finding KPIs break down by finding class, standard and ship section.

06

Breach Alerts in the Newsfeed

  • An alert when a KPI newly enters Breach
  • One alert a day for each fleet, office or vessel and module
  • Value, target and breach line listed
  • Opens the board at that period
  • Reaches administrators and people who may see that vessel
How it works

When a period closes with a KPI newly in Breach, Navatom reports it in the newsfeed. A KPI counts as new if it was not in breach the period before or has never been reported. One alert a day covers each fleet, office or vessel and module, listing each KPI with its value, its target and its breach line, and it opens the board at that period.

Alerts go to administrators and to the people who may see that vessel or the whole fleet, and anyone can mute them. A KPI with no target is never rated and a monitor-only KPI takes no target, so neither raises an alert.

07

Safety Issue KPIs: Backlog, Closure and Injuries

  • Overdue open rate and issues older than 90 days
  • Median and 90th percentile time to close
  • Repeat, reopen and corrective action effectiveness rates
  • Injury frequencies per million exposure hours
  • Near-miss reporting rate per vessel-month
How it works

49 issue KPIs are shared across Deficiencies, Non-Conformities, Accidents, Near Misses and Technical Findings, each module showing the ones that fit it. They follow the backlog and deadlines (overdue open rate, open issues older than 90 days, on-time closure), and the time to close and the time in each stage. They also follow how well issues close (reopen rate, repeat rate, corrective action effectiveness) and what is learned (root cause coverage, preventive action coverage, investigation completeness).

Accidents add injury frequencies per million exposure hours, worked out from work and rest hour records, the fatal accident rate, fires and explosions, navigational incidents and spills, with the BIMCO or IOGP indicator each cites named on the tile. Near Misses add the near-miss reporting rate per vessel-month, and severity-weighted indices use your company's own severity table.

08

Audit Program, Port State Control and Vetting KPIs

  • Audit plan completion and audits started in their window
  • Findings closed on time, and repeat findings
  • PSC deficiency ratio, detention rate and days since last detention
  • Company PSC indices over 36 months
  • Internal audits set against outside inspections
How it works

Audits carries the largest set, 118 KPIs. They follow the program (plan completion, audits started inside their window, the longest gap between internal audits, schedule slip). They also follow how audits are run and recorded (closing lag, report write-up time, reopened and invalidated audits) and who runs them (audits per auditor, lead rotation, findings by outside inspector).

Port State control KPIs follow inspections, the deficiency ratio, detentions, the days since the last detention and the company's deficiency and detention indices over 36 months. Further KPIs follow how findings close out and repeat, how often each question fails across the fleet, and how internal audits compare with outside inspections and vetting observations.

09

Procurement KPIs: Cycle Time, Price and Suppliers

  • Requisition to order, and to goods on board
  • Deliveries in full by the needed-by date
  • Negotiated savings against the average quote
  • Spend with no approval, and single-quote awards
  • Invoices paid on time, early-payment discounts taken
How it works

94 procurement KPIs follow a purchase from requisition to paid invoice: days from requisition to order and to goods on board, approval times, deliveries in full by the date the vessel needed them, and invoices paid by their due date.

Price and sourcing KPIs show negotiated savings against the average quote, awards to the lowest quote, single-quote awards, spend sourced through quotations and spend on manual orders with no approval. Supplier KPIs follow how reliably vendors acknowledge, quote and deliver, and how much spend goes to vendors you have evaluated.

10

Payroll KPIs: Crew Cost and Crew Protection

  • Crew cost per crew day, seafarer-month and vessel-day
  • Wages paid on time and the oldest unpaid wage
  • Deductions covered by the seafarer's consent
  • Leave taken against leave earned
  • Basic wage headroom over the ILO minimum
How it works

89 payroll KPIs cover crew cost per crew day, per seafarer-month and per vessel-day, wages paid on time, payslips right first time, disputes, and the days from sign-off to final pay. Accuracy and control KPIs add runs approved by the person who prepared them, payslips with hand-added lines and bank details changed shortly before pay.

Crew protection KPIs follow what seafarers are owed: seafarers with a wage unpaid for more than two months, the oldest unpaid wage, deductions covered by consent and repatriation costs recovered. Others follow leave taken against leave earned and able seamen's basic wage against the ILO minimum. Where a KPI cites an MLC provision, the tile names it.

11

Crew KPIs: Retention, Relief and Rest Hours

  • Officer, crew and ratings retention
  • Seafarers not relieved on time
  • Expired certificates and overdue training aboard
  • Rest-hour violations in crew-days
  • Training days per officer and cadets per ship
How it works

Crew Manager's 9 KPIs follow officer, crew and ratings retention by the BIMCO and INTERTANKO formulas, officer experience, training days per officer, cadets per ship, crew disciplinary frequency, seafarers not relieved on time and the human-resources deficiencies external inspections raise. A seafarer counts as having left only when no new contract starts within 12 months, so a retention period stays provisional for 12 months after it ends.

Crew Planning adds seafarers aboard with an expired required certificate and with required training overdue, taken from each ship's training matrix, and Work & Rest Hours adds rest-hour violations counted in crew-days. Each names the BIMCO, MLC or TMSA reference it cites.

12

Manuals, Circulars and Forms KPIs

  • Draft to release, approval wait and rejection rate
  • Reviews done on schedule
  • Read rates and reads made by the deadline
  • New joiners' first-week reading
  • Forms on time and right first time
How it works

77 KPIs follow how your documents are kept under control: 27 for Manuals, 24 for Circulars and 26 for Forms. They measure the days from draft to release, how long approvers hold a document and how often they send it back, whether scheduled reviews are done on time and how soon a release reaches the vessels it is meant for.

On board they follow whether crew read what is assigned to them, by vessel: read rates, reads made by each person's deadline, the Master's time to read, new joiners' first week and re-reads after a revision. For forms they add deadlines met, fill and approval times, forms sent back and forms sent on a template that has since been replaced.

13

Too Few Records Is Not a Zero

  • Least records stated for each KPI
  • A reason given when no figure shows
  • Monitor-only KPIs without target or alert
  • Coverage shown for fields a KPI depends on
How it works

Each KPI states the least number of records it needs, and a tile below that shows no figure and says how many it needs, instead of a percentage drawn from three records. A zero appears only when zero was measured.

Some KPIs are monitor-only: they show value and trend with no target, band or alert, because a target would distort them. Retention figures stay empty where fewer than 85% of departures have a recorded reason, and a KPI that depends on a field, such as a cause category, tells you how many of its records carry it.

14

Cards, Table and Print

  • Cards or table in one click
  • Fleet, office or one vessel
  • Worst standing first in the table
  • Four print layouts, one of them a summary
  • One KPI printed with its records
How it works

Read a board as cards, one per KPI, or as a table where each KPI row carries the fleet figure with the office and every vessel beneath it, worst standing first. Pick the fleet, the office or a single vessel for the cards, then the month, quarter or rolling window.

Print the board in one of four layouts: a summary of how many KPIs stand where and what needs attention, cards, rows, or every KPI across the locations side by side. One KPI also prints on its own, with the records behind its figure.

15

Ask Navatom AI About the KPIs

  • Reads any of the 14 KPI boards
  • Fleet, office or one vessel
  • Compares up to five KPIs across vessels
  • Lists the records behind a figure
  • Says when there is too little data
How it works

Ask Navatom AI to read a module's KPI board for the fleet, the office or one vessel, for any month, quarter or rolling 12 months. It returns each KPI's value, target, band, change and trend, the same figures the KPI page shows.

It can compare up to five KPIs across the fleet and every vessel you can see, and list the records behind a figure, up to 50 at a time. When a KPI has no figure for lack of records, it says so instead of quoting one.

FAQ

Frequently Asked Questions

Common questions about KPI answered.

What is Navatom KPI?

Navatom KPI is a catalog of more than 420 key performance indicators calculated from the records your fleet keeps in Navatom. Each has one formula, a direction that is good and a history by month, quarter and rolling 12 months. It sits in the KPIs menu of the module it measures: Deficiencies, Non-Conformities, Accidents, Near Misses, Technical Findings, Audits, Procurement, Payroll, Crew Manager, Crew Planning, Work & Rest Hours, Manuals, Circulars and Forms. KPI runs in the office app.

How is KPI different from the Dashboard and Analytics?

The Dashboard shows what is open, due and waiting now, in widgets you arrange. Analytics explains one subject in depth, with charts that say how they are read and calculated. KPI follows named indicators, such as the overdue open rate or officer retention, each measured the same way in every period, rated against your target and followed over time.

Who sets the targets, and what do Meets, Watch and Breach mean?

You do. Navatom sets no targets for you, so a KPI with no target shows its value and trend and is Unrated. People with the Can set KPI targets access right set a target, and a breach line if they want one, for the fleet, the office or a vessel. A value at or better than the target Meets, a value between the two lines is on Watch, and a value beyond the breach line is in Breach; without a breach line, anything short of the target is a breach.

Can I change a KPI's formula or add my own?

No. Navatom defines each KPI once, with the same formula for every company and vessel, so a figure means the same everywhere and one ship can be compared with another. Turn a tile over to read what it measures, how it is calculated, why it matters and how to read it, with its direction, whether it is leading or lagging, the least records it needs and the standard it cites. You set the targets.

What happens when there are too few records?

The tile shows no figure and says how many records it needs, rather than a number drawn from too few. Retention KPIs also stay empty where fewer than 85% of departures have a recorded reason, and a zero appears only when zero was measured.

How am I told when a KPI is in breach?

When a period closes with a KPI newly in Breach, Navatom adds an alert to the newsfeed, once a day for each fleet, office or vessel and module. It lists each KPI with its value, target and breach line and opens the board at that period. It goes to administrators and to people who may see that vessel, anyone can mute it, and a KPI with no target, or a monitor-only one, raises none.

Is KPI on the ship app too?

No. KPI pages run in the office app. The figures are calculated from the records the office and the vessels keep in Navatom, and each person sees only the vessels they may access.

Navatom AI

Ask Navatom AI about KPI

Navatom AI reads the same KPI boards as the KPI pages, for the fleet, the office or one vessel and any month, quarter or rolling 12 months, compares vessels on up to five KPIs and opens the records behind a figure.

  • Which vessels are in breach on the overdue open rate for deficiencies this month?
  • How has officer retention moved over the last 12 months?
  • Which vessel has the highest near-miss reporting rate this quarter?
  • Which records make up the overdue open rate for MT Boreas this month?

Navatom AI shows only the vessels you can see, and says when a KPI has too few records for a figure.
