Benefits

Why Payroll?

Key advantages of Payroll as part of Navatom's integrated platform.

Every Seafarer Paid on Time

Readiness checks before the run, exceptions before approval, and approval that can leave out a problem payee mean one missing bank detail never holds up a whole crew's pay.

Seafarer Pay Rules Checked Before Money Leaves

Deduction purposes, written consent, a cap on deductions, repatriation grounds and allotment minimums are checked on every payslip, so wage protection is built into the run rather than audited afterwards.

Separation of Duties Built In

The person who calculates a run is not the one who approves it, tax tables need a second person to activate, and confidential pay groups keep senior pay to named viewers.

One System from Contract to Bank File

Contracts made in Crew Manager become payees, wage scales price them, runs pay them, and bank files, filings and tax remittances close the month, with no spreadsheet between steps.

Crew Cost per Vessel, Every Month

Every day served lands on the vessel where it was served, so owners and managers see each vessel's crew cost by month and currency.

Overview

Navatom Payroll pays crew and shore staff from one place. It holds who is paid, what each person earns under their wage scale and agreement, and when and how they are paid, and each pay period it turns that into payslips, payments, bank files, and the tax and contributions that are paid over and filed with the authorities. Seafarers come onto payroll through their crew contracts in Crew Manager; shore staff through a shore employment made in Payroll.

Read the full overview of Payroll

Wage scales price every rank, with dated revisions that can follow a collective agreement such as ITF TCC, IBF or POEA SEC. Each payroll run is generated, calculated, checked for exceptions, approved by a second person and paid out, with allotments to families split from the seafarer's own pay. Deductions carry a purpose, wait for the seafarer's written consent where it is required, and are held within the share of pay a pay group allows.

Each country's taxes and social security contributions live in dated tables that are tested before a second person activates them. Filing files are written in the layout each authority asks for, tax certificates are printed, and remittances are paid. Confidential pay groups keep senior officers' pay to named viewers, and a monthly report shows what each vessel's crew cost.

Capabilities

Key Features

How Payroll helps ship managers work faster and stay compliant.

01

Payroll Runs for Crew & Shore Staff

One payroll run pays one pay group for one pay period, monthly, semi-monthly, biweekly or weekly. Generate the payslips for everyone who served in the period, calculate the wage, pay inputs, taxes and net pay, approve, generate the payments, and close the run once every payment is settled.

A supplementary run pays days the regular run left unpaid, and a correction run replaces an issued payslip that was wrong. Calculating again picks up any change to members, agreements or inputs until the run is approved.

PAY

Payroll Runs for Crew & Shore Staff

  • Generate, calculate, approve, pay, close
  • Monthly to weekly pay periods
  • Supplementary & correction runs
  • Recalculate until approved
  • Crew & shore staff alike

02

Wage Scales from Collective Agreements

A crew wage scale prices every rank, line by line; a shore staff scale prices named packages. A scale can follow a collective agreement, and for ITF TCC, ITF Standard, IBF, POEA SEC or Turkish Law 854 one click fills the leave days, working hours, proration and rounding the agreement sets.

Prices live in dated revisions: copy the current one, uplift it by a percentage, or start blank, add seniority and conditional pay, then publish now or schedule it to go live by itself. Contracts take their wage from the revision in force on their start date, and the scale also holds the contract, appointment and discharge document templates.

PAY

Wage Scales from Collective Agreements

  • Crew ranks & shore packages priced
  • One-click agreement defaults
  • Uplift revisions by a percentage
  • Scheduled revisions go live by themselves
  • Contract documents from templates

03

Protected Seafarer Pay

Every deduction carries one of 7 purposes. Where the law or the pay group requires the seafarer's written consent, the deduction waits until a consent covering the pay date is on file, and the wage is paid in full meanwhile. A pay group can cap the share of pay that deductions take.

The cost of a seafarer's trip home is recovered only with a recorded ground. Runs warn when an allotment is below the legal minimum or a wage below the minimum the rules set, and a pay group that the rule does not cover can waive a warning-only rule, with a reason on record.

PAY

Protected Seafarer Pay

  • 7 deduction purposes
  • Written consent before deducting
  • Cap on the share deducted
  • Repatriation costs need a recorded ground
  • Minimum wage & allotment checks

04

Four-Eyes Run Approval

  • Calculator & approver kept apart
  • Self-approval recorded when allowed
  • Leave payees out & pay the rest
  • Revoke before payments go out
How it works

Whoever calculated a run cannot approve it, unless they are an administrator or hold the right to approve their own work, and then the run records a self-approval. Approval is refused while a blocking exception remains.

An approver can leave named payees out of the approval so the rest are paid on time, and can revoke an approval until payments exist or a payslip is issued.

05

Payees Ready Before Pay Day

  • One page per payee
  • Added from contracts & employments
  • Readiness checks before each run
  • Hold with a reason
How it works

Everyone Payroll pays, crew and shore staff, has one page: pay group, processing currency, tax residence and numbers, payment instructions, leave, service periods, balances and payslips. Seafarers become payees through their crew contract and shore staff through a shore employment, so no one is added by hand.

A readiness column counts what would stop a payee being paid, such as no pay group, no payment instruction for the pay date or no active agreement, and each finding names the fix. A payee can be put on hold with a reason.

06

Pay Inputs: Recurring, One-Time, Advances & Charges

  • 4 kinds of pay input
  • Each in its own currency
  • Advances repaid in installments
  • Forgive or write off with approval
  • Shortfalls carried forward
How it works

Enter what is paid or deducted besides the wage: recurring items, one-time payments, advances repaid in installments, and charges such as onboard purchases. Each input has its own currency and is converted into the payee's processing currency at the pay date's rate.

Advances can be suspended for unpaid leave or hardship, and forgiven or written off by an approver. An input that cannot be taken in full is deferred to a later payslip and shown on the run.

07

Payslips: Issue, Void & Correct

  • Served days & every pay line
  • PDF with optional employer cost
  • Disputes recorded
  • Corrections supersede the original
How it works

Each payslip shows the served days and every line of pay. Issue it to keep the document on record, print it as a PDF with or without the employer's cost, and record a dispute when a seafarer questions it.

An issued payslip that was wrong is voided or replaced by a correction, which supersedes the original and keeps both on record.

08

Allotments, Split Pay & Bank Files

  • Allotments to families
  • 4 payment methods
  • ISO 20022 & CSV bank files
  • Failed payments re-routed
  • Bank details masked & frozen per payment
How it works

Split each payee's pay between payment instructions, such as an allotment to the family and the remainder to the seafarer's own account. Pay by bank transfer, cash, e-wallet or check.

Export bank transfers as an ISO 20022 file and a CSV, one per paying account and currency, upload them to your bank, then mark payments paid or failed, re-route a failed payment or reverse a paid one. Each payment keeps the bank details it was made with, and anyone who may not edit bank details sees only the last four characters of an account.

09

Tax & Contribution Tables

  • Brackets, rules, reliefs & treaties
  • Employee & employer shares
  • Simulated & tested before use
  • Activated by a second person
  • Tax year close
How it works

A statutory scheme holds one country's tax or contribution in dated tables: the base, brackets with employee and employer shares, rules by rank group, vessel, flag, residence or tax treaty, reliefs, exemptions and checks. Tables are imported or built by hand.

Each table carries test cases and is simulated before a second person activates it. Tax decisions are confirmed per run, and a run can close the tax year.

10

Registrations, Filings & Tax Remittances

  • Employer registrations per authority
  • Filing files in CSV, fixed width or XML
  • Tax certificates from your template
  • Tax remittances paid & tracked
How it works

Register each employer with its tax and social security authorities. Define the file each authority asks for, CSV, fixed width or XML, column by column, and generate it for the months you choose.

Print tax certificates from your own template, and pay over the tax withheld as a tax remittance to the authority's account.

11

Sign-Off Settlement

  • Final pay flagged automatically
  • Unpaid days & leave paid out
  • Debts recovered
  • Settled once issued
How it works

When a contract or shore employment ends, the payee shows Final Pay Due. The sign-off settlement pays what is still owed, including leave, recovers what the payee owes, and settles them once it is issued.

12

Confidential Pay Groups

  • Named viewers only
  • Administrators kept out too
  • Time-limited access with a reason
How it works

Mark a pay group confidential and only its named viewers see its payees, runs, payslips and payments, administrators included. Someone else can be let in for up to seven days, with a reason the viewers are told.

13

Leave & Service Periods

  • Leave earned, taken & paid
  • Minimum leave shown apart
  • Linked to Crew Planning requests
  • Sick-pay limits per period
How it works

Leave accrues per contract at the days the wage scale sets, with the 2.5-day monthly minimum shown apart from leave above it. Record leave taken, link it to a Crew Planning leave request, and see what has been paid.

Sick, injury and travel periods are recorded as service periods, with a sick-pay day limit.

14

Crew Cost by Vessel

  • Monthly cost per vessel
  • Split by currency
  • Served days & gross
How it works

See what each vessel's crew cost in a month, currency by currency, with payees, served days and gross pay. Pay for days served on a vessel lands on that vessel.

15

Moving from Another Payroll

  • Balances brought forward
  • Year-to-date carried over
  • Existing contracts moved to payroll
How it works

Bring balances from your previous payroll onto each payee: leave owed, year-to-date figures, advances still owed and unpaid wages. Crew contracts made before Payroll can be moved onto payroll from Crew Manager.

16

Payroll Analytics

  • 5 analytics pages
  • Crew cost per vessel-day
  • Crew protection monitoring
  • Wages against the ILO minimum
How it works

Five analytics pages: money paid at home and on board, crew cost per vessel-day, wages and scales, pay operations, and crew protection, where deductions are set against the legal maximum and consent, and sickness, injury, travel and captivity cases against their limits.

FAQ

Frequently Asked Questions

Common questions about Payroll answered.

Does Navatom Payroll pay both crew and shore staff?

Yes. Seafarers come onto payroll through their crew contracts in Crew Manager, and shore staff through a shore employment made in Payroll. Both are paid in pay groups, each with its own employer, pay periods and frequency.

Which collective agreements does it support?

A wage scale can follow any collective agreement. For ITF TCC, ITF Standard, IBF, POEA SEC and Turkish Law 854, one click fills the leave days, working hours, proration and rounding the agreement sets; the overtime multipliers are typed on the overtime pay lines. Any other agreement is set up by hand on the scale.

How are allotments handled?

Each payee's pay can be split between payment instructions, such as an allotment to the family and the remainder to the seafarer's own account, each paid by bank transfer, cash, e-wallet or check. Runs warn when an allotment is below the minimum the rules set.

How does Navatom protect seafarers' wages?

Every deduction has a purpose. Where the law or the pay group requires written consent, a deduction waits until it is on file; a pay group can cap the share of pay deducted; repatriation costs are taken only with a recorded ground; and runs warn on wages and allotments below the minimum. Payroll checks these rules on every payslip. It does not certify compliance.

Does it calculate tax and social security?

Yes, from statutory tables you set up for each country, or import: brackets with employee and employer shares, rules by rank group, vessel, flag, residence or tax treaty, and reliefs. Each table is tested and activated by a second person. Filing files are written in each authority's layout, and tax certificates are printed from your template.

How are payments made?

Payroll writes bank files, an ISO 20022 file and a CSV per paying account and currency, for you to upload to your bank. It does not move money itself. You then mark each payment paid or failed, and re-route or reopen a failed one.

Can we move from our current payroll system?

Yes. Balances from the previous system, such as leave owed, year-to-date figures, advances still owed and unpaid wages, are brought forward onto each payee, and crew contracts made before Payroll can be moved onto payroll from Crew Manager.
