Crew Planning

Features

All 18 Features

Every feature in Crew Planning is built for daily maritime work — simple to use, fast to navigate, and fully integrated with the rest of Navatom.

01

Crew Planning Board

Each vessel is a row on a timeline, with a row for each rank under it: one bar for each seafarer aboard and each tour planned, and a gap bar wherever nobody is planned. Each vessel reads its fill at a glance, such as "18 aboard · 20/22 · 3 gaps", and each rank its aboard, required and desired counts.

Select a gap to plan a vacancy for its dates, select a seafarer to plan their relief, or drag a vacancy along the timeline to move it. Bars warn when a certificate expires within 90 days, a tour runs past the seafarer's contract, two plans overlap or a tour nears the 12-month limit on board, and persons on board and cabin berths are counted as the plan changes.

  • Every vessel's ranks on one timeline
  • Fill and gaps per vessel and rank
  • Plan a relief from a seafarer's bar
  • Drag a vacancy to move it
  • Certificate, contract & 12-month alerts

02

Candidate Line-ups from Proposal to Engagement

A line-up is one candidate put forward for one tour. It moves through 8 stages: proposed, screened, assessed, vetted, approved, offered, cleared and engaged. Each forward step is a button that stays grey, with the reason in its tooltip, until its condition is met, and several candidates can be lined up for one tour.

Screening records each document or reference checked, assessment records each interview or test with its outcome, and vetting answers the STCW, MLC 2006, flag state, officer matrix and company procedure checks. Engaging one candidate rejects the other open line-ups for the tour, and an ended line-up keeps its evidence as it was.

  • 8 stages, proposed to engaged
  • Screening, assessment & vetting tabs
  • Each step gated with the reason shown
  • Several candidates per tour
  • Evidence kept when a line-up ends

03

Charterer Officer Matrix Checks

Record each charterer's officer matrix: the months in rank, on the vessel type, with your company, at sea and on DP, steam or reefer ships it requires, checked for groups of ranks together. Apply it to a vessel and check the officers aboard or planned on any date, such as the day a charter starts or the next crew change.

Each rank group shows Compliant, Not compliant or Incomplete, with the months achieved against those required. Where two ranks of a group are empty, Navatom lists pairs of available candidates who meet the rule together, and a shortfall can be recorded with its mitigation for the charterer or auditor.

  • 7 experience checks per rank group
  • Combined, at least one, each officer or minimum team
  • Check any date, aboard or planned
  • Compliant pairs for two open ranks
  • Mitigations recorded for the charterer

04

Verified Sea Service from Every Tour

Every seafarer's sea service is counted from their tours on your vessels, including the tour in progress, and kept apart from the experience they declare themselves. It is broken down by rank, vessel type, tanker category, dynamic positioning class and propulsion, and rebuilt from the records rather than typed by hand.

The same verified months drive the checks that depend on them: the officer matrix, promotion criteria, and the rank requirements of each vessel's manning, where Find Crew shows a candidate's months in rank and on type against those required.

  • Counted from tours on your vessels
  • Verified apart from declared
  • By rank, vessel type & tanker category
  • DP class & propulsion tracked
  • Feeds matrix, promotion & rank checks

05

Find Crew for Every Vacancy

From a vacancy, Find Crew searches every seafarer your company can see and shows each candidate on a card: whether their certificates stay valid through the tour, whether they are free on the join date, and where they fall short of the rank's months in rank, on type or with your company, the officer matrix or required training.

A seafarer who is under contract on the join date or marked as not for rehire cannot be added, and the card says why. Add several candidates to a shortlist in one go, and each gets a line-up of their own.

  • Certificates valid through the tour
  • Availability on the join date
  • Sea service shortfalls flagged
  • Not-for-rehire seafarers kept out
  • Shortlist several candidates at once

06

Scored Interviews

Interview a candidate against one of your interview models from their line-up. Schedule it, record when it was held, and let each interviewer take a section and score its questions from 0 to 10. Only the interviewer who started a section can submit it.

The interview's overall score is the mean of the submitted sections, weighted when the model is weighted, and it is completed with a recommendation: highly recommended, recommended with training, or not recommended. Mandatory sections must be scored or waived, and conditional sections run only when they apply.

  • Sections scored 0 to 10
  • One interviewer per section
  • Weighted overall score
  • 3-level recommendation
  • Models from Evaluation & Feedback

07

Approvals, Offers & Clearance

Your company sets one chain of approval tiers, each a user group, and every tier approves in order before a line-up is approved. The offer then sets the rank, wage, contract length, join date and port, and records the seafarer's answer: accepted, declined, countered or expired.

Clearance tracks the medical, documents, visa and drug and alcohol test, plus the joining briefing and travel, and a check is skipped only with a reason. Engaging makes the crew contract, with the date the seafarer was briefed on their rights and where they are repatriated to where MLC applies.

  • Approval tiers in your order
  • Offer terms & recorded response
  • 6 clearance checks
  • Skips need a reason & a right
  • Contract made on engagement

08

Manning, Vacancies & Reliefs

Each vessel's manning holds one line per rank: the flag's safe manning count from its Minimum Safe Manning Document, your company's minimum and the number you plan for. The document shows its days to expiry, and the vessel's rules cover nationalities, working language and extra manning such as dynamic positioning or polar watches.

Vacancies lists every tour with nobody named up to 12 months ahead, with how many of the rank the vessel needs that day and how many it is short. Due Off lists who leaves when, and whether their relief is missing, uncrewed, planned or confirmed.

  • Safe manning, minimum & desired
  • Safe manning document expiry
  • Shortfall per vacancy
  • Reliefs tracked for each leaver
  • 12 months ahead

09

Rotation Patterns & Planning Scenarios

A rotation pattern is a named cycle such as 28 days on and 28 days off. Apply it to one rank of one vessel and Crew Planning plans the tours up to a date you choose, with the handover days you set, and names the seafarers in turn only when each has rested enough since their last tour.

Patterns warn from 335 days on board, near the 12-month limit of MLC Standard A2.5.1. Scenarios are draft copies of the plan where tours can be tried out without changing the live plan.

  • Tours planned from a pattern
  • Handover days built in
  • Rest checked between tours
  • 12-month warning from day 335
  • Scenarios beside the live plan

10

Crew Changes, Port by Port

A crew change gathers the seafarers who join and leave a vessel at one port, with their OK to Board, travel legs, costs and the PPE issued to joiners. It prints the pre-arrival pack for the port agent, the Letter of Guarantee and the crew list at departure, and reminds you when the pack is due before the ETA.

It warns when a rank is left unrelieved or a leaver holds muster list duties, and it cannot be completed while the survival craft would be short of the people needed to man them. Completing lists the ship-specific familiarization for each joiner and a muster list re-check for the vessel.

  • Joiners & leavers per port call
  • OK to Board & Letter of Guarantee
  • Pre-arrival pack & crew list
  • Survival craft check before completion
  • Familiarization follow-ups

11

Job Postings That Feed the Pipeline

Advertise a vacancy as a job posting with its rank, vessel, joining date and port, salary range and eligible nationalities. Seafarers read it on a public job page and apply from their Navatom crew account, and you choose whether search engines such as Google list your open postings.

When a posting comes from a vacancy, each applicant is put forward for it as a proposed line-up, so applications arrive in the same pipeline as candidates you find yourself.

  • Public job page per posting
  • Apply from the crew account
  • Listed on search engines if you choose
  • Applicants join the vacancy's line-up
  • Eligible nationalities enforced

12

Promotions, Transfers & Supernumerary Berths

Plan a promotion and Crew Planning checks it against your promotion criterion for the new rank: months in the ranks below, on type and with your company, a shorter route where you allow one, and required courses. Unmet, it warns or refuses, as you choose.

A transfer moves a seafarer to another vessel without restarting their tour, so the 12-month limit still counts from their sign-on. A supernumerary berth carries a trainee such as a cadet outside the manning count, in a cabin of their own.

  • Promotion criteria per rank & type
  • Warn or refuse when unmet
  • Transfers keep the tour's start
  • Supernumerary berths outside manning
  • Training record book rule

13

Leave & Travel Requests

Crew ask for leave or travel on the ship app, and the master can ask on behalf of anyone aboard. The office decides leave and arranges travel in Crew Planning, and the seafarer sees the decision and its note.

An arranged travel request links to the crew change's bookings for the same tour, travel expenses are recorded on the request, and bookings above your cabin class or fare ceiling are flagged. With Payroll, approved leave links to the leave the seafarer takes.

  • Raised on board
  • Decided in the office
  • Linked to crew change travel
  • Travel policy flags
  • Leave linked to Payroll

14

Crew Database & Pools

The database lists every seafarer your company can see: those you added, and those who registered themselves on Navatom and are visible to you. Pools group seafarers you keep ready, such as a vessel's core crew, relief officers or a reserve, each recalled in priority order.

  • Company-added & self-registered crew
  • Pools for core crew & reserves
  • Recall priority
  • A seafarer in several pools

15

Special Personnel

Record the technicians, scientists, industrial personnel, divers and trainees who sail without being crew. Their embark and disembark dates count them in the vessel's persons on board and in the crew change's survival craft check, and pre-sailing checks list what is missing for their category, such as a medical or safety training.

  • 8 categories
  • Counted in persons on board
  • Pre-sailing checks by category
  • Industrial personnel checks

16

Placement Register

One read-only row for every crew contract on your vessels: the seafarer, rank, vessel, shipowner and employer role, whether the contract was signed and handed over, and how the seafarer was recruited when a line-up led to it.

  • Every placement on record
  • Signing & handover recorded
  • Recruitment route kept
  • Filled from contracts, never typed

17

Crew Change Costs by Vessel

Record each crew change cost, such as fares, visas, agency fees and hotels, and whether the company or the seafarer bears it. The report totals each vessel's costs by year or month and by currency, split between the two.

  • Travel, visa, agency & hotel costs
  • Company or seafarer borne
  • By vessel, month & currency

18

Planning Analytics

Planning figures over time: each vessel's ranks against their minimum, officer matrix compliance across the fleet, training gaps aboard, the upcoming crew changes that are ready or not, and the recruitment pipeline, with how long line-ups wait in each stage, time to fill a vacancy and offer acceptance.

  • Time to fill & offer acceptance
  • Pipeline conversion & drop-outs
  • Fleet matrix compliance
  • Training gaps aboard
  • Crew changes ready or not

Technical

Under the Hood

Architecture and engineering behind Crew Planning — data handling, real-time sync, and interface design.

Every Step Checked Again

Each forward step of a line-up checks again that the seafarer can still be engaged for the tour, so a candidate who is now under contract on the join date or marked not for rehire is stopped with the reason named.

Coverage Counted from Agreed Plans

A seafarer named on a draft tour does not count as covering the rank until the tour is confirmed, and a tour cannot be canceled if it would leave the rank below the vessel's safe manning count.

Sea Service Rebuilt from the Records

Sea service is computed from each seafarer's tours and rebuilt whenever they change, never edited by hand, so every check reads the same verified months.

Gates Your Company Sets

Approval tiers, a cleared medical, a joining briefing, certificates for the rank and vessel, a document validity buffer after sign-off and a medical grace period are settings, not code.

Live Plan and Scenarios

The live plan holds draft, confirmed and locked tours; scenarios copy it so tours can be tried out without touching it.

Complete Event History

Every change is recorded with who made it, when and what changed, with comments and attachments where records take them.
